Job Description:
Office Manager The office manager provides day-to-day operational leadership to the veterinary practice.
This vital role serves as the liaison to the practice owners and manages all human resources, payroll, and building maintenance functions.
Core Duties Human Resources Manage all parts of the employee recruitment process, including posting positions, screening candidates, coordinating working interviews, creating offer letters, conducting background checks, and onboarding new hires Execute all data entry for new hires, promotions, terminations, and employment changes in ADP Process bi-weekly payroll, audit time reports, and answer employees' questions regarding payroll Collaborate with team leaders on employee on-boarding check-ins (30, 60, 90 days) and annual performance reviews Support team leaders when performance or conduct concerns arise.
Provide guidance through the disciplinary process, including verbal warning, written warning, Performance Improvement Plan, and termination Receive and respond to inquiries by providing appropriate information concerning company and department policies, procedures, and benefits.
Investigate and resolve issues Administer benefits and oversee annual enrollment Support team leaders in creating and executing employee development plans, improvement plans, etc.
Leadership Oversee the weekly staff meetings, including managing the meeting plans, creating a weekly agenda and sign-in sheet, leading the meetings, and recognizing birthdays and other achievements/special occasions Serve as a member of the leadership team; collaborate with the practice owners in planning leadership team meetings, employee retreats, etc.
Manage and mentor the team leaders; conduct monthly one-on-ones and help team leaders navigate professional challenges, set goals, and seek opportunities to grow Plan special events, such as employee appreciation outings Prepare and analyze periodic reports for the practice owners that are necessary to carry out the functions of the department Provide regular updates and recommendations to the practice owners General/Financial Order office supplies, name tags, stamps, etc.
, and address building maintenance and security concerns Stay current on the practice's IT needs and communicate those to the IT provider Collaborate with the Client Care Team Leader on open invoices and billing, as well as reconciliation of receipts Process employee requests for reimbursement and expense reports Oversee employees' financial balances on their accounts and collect payments Meet with vendors as necessary Sort mail and provide invoices and urgent items to the practice owners Requirements Knowledge of human resources processes and best practices Experience with leading a team in a fast-paced work environment Background with HR databases and HRIS systems (e.

ADP) strongly preferred Must be well organized, with the ability to manage time, multitask, and prioritize workflows effectively Must have the ability to communicate effectively and confidently Must have the ability to maintain confidentiality, work cooperatively and with minimal supervision, and be punctual and reliable Must have logical thinking and problem-solving abilities Familiarity with social media communication and recruiting Associate degree required, bachelor's degree in a related field preferred Preferred Skills Leadership & Interpersonal Skills Word, Excel and computers application abilities Organizational, Administrative Skills Working Conditions While performing the duties of this job, the employee is frequently required to bend, stand, stoop, walk, sit, talk, and listen; will use hands to type or feel; will reach with hands and arms.
